Every business has to keep records for a certain period of time before they can legally destroy them and some records must be kept permanently.  You want these easily accessible but also highly secured.

Our Process

  1. DDV will come to you and bring your boxes back to our highly secured, climate controlled warehouse.
  2.  Your boxes will be inventoried and assigned a barcode then they will be scanned into a secure location in our warehouse.
  3. We will provide you with an inventory spreadsheet of all of your boxes.  Any time you need a file or a box, give us a call and we will get it to you! It’s that simple!

Bar Coding System:

The bar coding system that we have in place allows us to locate your boxes and files in a matter of minutes instead of the hours you and your staff are spending searching through the records retention room.

DDV-RMD can help you with your records storage nightmares. DDV-RMD has a clean and climate controlled warehouse which is monitored for security and fire by an independent third party service provider.  Typical storage units are expensive and sometimes dirty and without a climate control system you can literally end up with boxes of moldy, unreadable paper.  Having boxes stashed in your office space is a waste of square footage for your growing business that should be used to increase workflow and productivity.  You don't want to waste countless hours as your staff is sorting through old files and boxes that aren't properly accounted for or labeled.

Retention Dates

Document Destruction of Virginia will also reference a retention date if noted during the inventory process.  Once a box reaches it's ending retention date, the customer is notified and they can choose to shred the box, return it to them, or keep it on the shelf.  The customer is always in control of their documents.  If shredding is needed, we can handle that with our shredding truck right here at our facility.  The customer will receive a certificate of destruction once that shredding is completed.
